How to perfect Workday release management

In this blog, we look at Workday release management and the key steps to doing it well.

Keeping your iPhone updated with the latest iOS couldn’t be simpler.  Apple pushes the update to your handset, and as long as you’ve got enough battery, you can sit back and watch that black bar progress across your screen until it’s complete.

That’s it. Done. 

Within a few minutes, you’re on the latest code and benefitting from Apple’s newest features. Like your iPhone, Workday is also in the Cloud and receives periodic updates. But the update process isn’t quite as simple.

Types of Workday releases 

Workday release changes through weekly service updates and bi-annual feature releases.

Weekly Service Updates
These are mainly bug fixes and off-cycle enhancements to your existing Workday functionality, released within a weekend maintenance window. They don’t impact your configuration, and, therefore, don’t need regression testing. Examples include modifications to the user interface including font sizing, background colours, reporting components and web service updates.

Bi-Annual Feature Releases
More significant changes to features and functionality are delivered every six months. Some changes will be automatically available, whereas others you will need to set up. Workday gives you five weeks to plan, test and communicate upcoming changes. Examples include enhancements to existing functionality, new web services, bug fixes and brand-new products.

How to manage feature releases

Customers who don’t have the internal resources to understand, test and deploy Workday releases face the harsh reality of missing out on functionality they continue to pay via their subscription. In a worst-case scenario, they can even become non-compliant.

Workday recommends treating feature releases as mini-projects and suggests assigning an Update Manager to own the planning and execution of a Test Plan.

Test Plans for effective Workday release management

Just because some of the feature release updates are labelled as ‘no setup required’, doesn’t mean you can disregard testingThe Update Manager must determine if there are any configuration changes required to accommodate the new automatically available features.

Incidentally, while a Feature Release often introduces new functionality, it may also retire old features. So, it’s vital that you understand the implications of losing Workday configuration you may depend on.

While Workday provides material for each Feature Release, there’s a lot of it – and it’s not always easy to understand. Plan your tenant strategy 

You will also need to plan your Tenant Strategy – something which can vary depending on the scope and timelines of the release.

Preparing a plan which details how testing is managed between Sandbox, Sandbox Preview, Implementation and Implementation Preview tenants is key to ensuring features are tested and migrated to Production error-free within the intended release window.

Carefully consider the timing of the releases. You may choose to delay the release of certain opt-in features to allow a smoother change management process. Again, this feeds into your Tenant Strategy.

Finally, there are non-technical aspects to consider, such as change and communications. The Feature Release may impact end-users and therefore require change management. Leveraging Workday Announcements for communicating changes and updates to job aides are common tasks included in the Test Plan.

Execute Test Plan

Due to Workday’s limited preview window, you will need a well-prepared Test Plan you can execute efficiently.

The Test Plan should detail all Workday components in scope for test execution. This isn’t a simple task and requires in-depth knowledge of the existing functional, integration and data elements in your Workday instance.

Summary

Investing in Workday and deploying a configuration that works for your organisation at that time is, of course, important. However, the initial deployment of Workday is just the first step in your HRIS journey.

How to prepare for a Workday Update Release

Workday’s biannual updates in March and September introduce new functionalities and enhancements. Effective release management is essential to capitalise on these additions.

A systematic approach ensures your organisation leverages these updates.  This step-by-step guide will help you prepare and maximise the benefits of each Workday release.

Familiarise Yourself with new Features.

Eight to ten weeks before each release, Workday sets up a Release Centre in the Community. It provides all the information needed to prepare for the update.

Use the Feature Release Guidebook in the Release Centre to plan your release management. It includes essential tools like timelines, schedules, and FAQs. The guide is especially valuable for first-time implementers, providing a solid foundation for effective release management.

Check the ‘What’s New in Workday‘ report in the Release Centre. This report details new, ready-to-use features in production tenants.

Use the Adoption Tool Kit. It will help you to:

  • Evaluate new features.
  • Incorporate them into your release plan.
  • Assign responsibilities.
  • Monitor progress.

Schedule Workday Update Release Important Dates

Check the Maintenance Calendar and plan around it.  You can find the calendar on the homepage of the Release Centre. Note that when Workday updates, it will shut down and will be unavailable for a short period, usually between three to twelve hours.

The updates happen during the weekend maintenance window. The calendar will always state the expected outage time. The Maintenance Calendar will tell you when to expect features in the preview tenant, their production date, and when to implement them.


Test the Workday Update Release

To test the update:

  • Enable and configure new functionalities in the preview tenant.
  • Test all newly activated features.
  • Verify automatic updates.
  • Conduct regression tests to ensure existing functionalities remain intact.

Have a Tenant Management Strategy

Normally, when you make a change to your tenant, you would make the change in the implementation or sandbox tenant. Then test before migrating the change to production. This is good practice to ensure a safe path to production for your changes.

But, with a Workday update release, you should make the change in the preview tenant. Once the release is put into production, you can make any configuration or set-up changes in production.

If you want to refresh your preview tenant at any stage during the six weeks preceding the release, a named support contact can request this. The process is similar to how you would request a sandbox exemption, via the Workday Customer Center. Sandbox and implementation tenants get updated with the new release at the same time as the production tenant.


Schedule Time to Manage the Release

Allocate time to thoroughly review and test new functionalities, assess their impact, and inform affected users of any changes.  Notify users of any noticeable changes to avoid confusion and ensure a smooth transition.

Introducing Workday Time Tracking to comply with new German legislation

Earlier in 2022, Germany became the latest country to implement guidelines from the European Court of Justice (ECJ) to bring in new laws requiring employers to track the working time of their employees.

This move marked a change from the exception-based recording, which previously required most employees to track only Mehrarbeit (additional working time).

The good news for Workday customers is that Workday Time Tracking will help them to comply with these new requirements.

What is Workday Time Tracking?

Workday describes its Time Tracking feature in the following way:

“A consumer-driven, global time-and-attendance application. This cloud application works seamlessly with Workday Human Capital Management (HCM), Workday Payroll, Workday Absence Management, and Workday Projects to provide global organisations with a complete end-to-end user experience that works on the web and mobile devices, or with a physical time clock. Workday Time Tracking helps organisations increase worker productivity, reduce labour costs, and minimise compliance risks.”

Configuration Options

Workday Time Tracking has several options for tracking employees’ working time. These include a virtual clock, which employees use to clock in and out, or simply record their total working hours each day

The feature can deduct breaks from working time automatically, and calculate any extra hours, such as weekend work, that need to be paid at a premium. It also enables employers to set up alerts and validations, if, for example, an employee is required to take a 12-hour gap between shifts.

As of R2-2022, Workday has introduced Time Accumulators, which makes it easier to keep track of Gleitzeit (flex time) requirements in Germany and many other European countries.

Workday Docs – An opportunity to improve your candidate experience

In 2021, Workday released Workday Docs, a powerful new document generation tool to ensure consistent branding across automatically generated documents.

It’s particularly useful during the recruitment process, as part of Workday Recruiting, where creating a positive and consistent candidate experience of the brand is critical for attracting top talent.

The previous Workday Document Generation process offered only basic formatting, and many people found it frustrating to work with.

Workday Docs now gives users the power to use locked content, images, and more advanced formatting, including tables, page breaks, headers, footers, and margins.

It’s a real boost for users trying to give candidates a better and more consistent brand experience and reduce the need to use an uneconomic custom option.

So, the functionality to produce more consistent and professional documentation through Workday now exists. Now it’s down to organisations to make the transition from the old Document Generation system to Workday Docs.

How to make the change to Workday Docs

Sadly, there is no magic wand to wave to migrate to Workday Docs. It is a manual process where all new documents need to be created from scratch, which can take some time.

You can use both Document Generation and Workday Docs at the same time. So, if you are looking to move to the new system but are not keen on moving all your documentation over at once, you can do so on a document-by-document basis over time.

This option may be attractive if the capacity to make the transition is limited. However, candidates may encounter documents produced in two different systems, resulting in an inconsistent experience.

One alternative solution is to bring in capacity from external experts.

A trusted partner will guide you through the migration process and can take on the heavy lifting of configuring Workday documents for you. They may even be able to create additional value by advising on the process, design and content of documents used in recruitment.
